Privacy Policy

Who we are

This website, easyprovideo.com, is operated by EasyProVideo (“EasyProVideo”, “we”, “us”). We decide how and why the personal information described here is used (in EU/UK terms, we are the “controller”).

Person in charge of privacy. Jon Laakso, Privacy Officer. Contact: our contact form. Write to us about any question, request or complaint about your personal information.

What we collect

When you send an inquiry: your name and email, and anything you choose to add (company name, company website, the kind of help you’re interested in, and your message). We also record the page you sent it from and the time. Your name and email are needed so we can reply; everything else is optional.

Technical information: our hosting provider processes standard request data (such as IP address, browser type and pages requested) to deliver the site and protect it from abuse. To limit spam we use a one-way hashed form of your IP address to count recent submissions; it isn’t stored with your inquiry.

What we don’t do: no advertising cookies or tracking pixels, no analytics cookies, no selling or renting of personal information, and no automated decision-making or profiling that affects you.

Why we use it, and our legal basis

  • To reply to your inquiry and prepare for a conversation (including looking at your public website if you share it). Basis: your request and our legitimate interest in responding to people who contact us; in the EU/UK, steps you ask us to take before a possible contract (GDPR Art. 6(1)(b) and (f)).
  • To keep the website and form secure and free of spam. Basis: our legitimate interest in protecting our service (GDPR Art. 6(1)(f)).
  • To send email updates, only if you ask for them. Basis: your express consent (GDPR Art. 6(1)(a); Canada’s Anti-Spam Legislation). You can withdraw it at any time.

We don’t use your information for anything else without telling you first and, where required, asking for your consent.

Email updates and anti-spam rules

Sending an inquiry never signs you up for anything. We only send email updates if you tick the optional, unticked box on our form and then confirm by pressing the button in the email we send you (double opt-in). Every update identifies EasyProVideo, includes our mailing address and has an unsubscribe link. Unsubscribe requests take effect right away, and always within 10 business days as Canada’s Anti-Spam Legislation requires. Replies to your own inquiry are not marketing emails.

Who we share it with

Only the service providers that help us run this website and respond to you, under contracts that limit how they can use it:

  • Vercel Inc. (United States) — Hosts this website and processes standard technical request data (such as IP address and browser type) to deliver and secure it.
  • Resend (United States) — Sends the emails this website generates: your inquiry to our inbox, and, only if you ask for email updates, the confirmation emails.
  • Our business email provider — Stores inquiry emails and consent records in our business mailbox.

We may also disclose information if the law requires it, or to protect our rights or someone’s safety.

International transfers

Our providers may store or process information in the United States and other countries, where privacy laws may differ from yours and authorities there may be able to access it. Where EU/UK law applies, we rely on recognised safeguards such as the EU–US Data Privacy Framework (where the provider is certified) or the European Commission’s Standard Contractual Clauses in our providers’ data processing terms.

How long we keep it

  • Inquiries: up to 24 months after our last contact, unless a working relationship follows, in which case we keep what we need for that relationship and our legal obligations.
  • Consent records: while you receive email updates, and afterwards for as long as we may need to show that you agreed.
  • Spam-protection data: about 10 minutes. Hosting logs are kept by our host for a short period under its own policies.

Your rights

Depending on where you live, you can ask us to:

  • tell you what personal information we hold about you and give you a copy (access);
  • correct it (rectification);
  • delete it (erasure), or limit how we use it (restriction);
  • send it to you or another organisation in a structured, commonly used format (portability);
  • stop using it for a purpose based on our legitimate interests (objection);
  • withdraw your consent at any time, without affecting what we did before you withdrew it.

To make a request, contact our contact form. We may need to confirm your identity. We’ll respond within 30 days (or one month under GDPR), and tell you if we need more time where the law allows.

Complaints. Please tell us first so we can try to fix it. You can also complain to a privacy regulator: in Canada, the Office of the Privacy Commissioner of Canada; in Quebec, the Commission d’accès à l’information; in the EU, your local data protection authority; in the UK, the Information Commissioner’s Office.

Cookies

This website doesn’t use advertising or analytics cookies, so there’s nothing to accept or reject. If we add analytics, we’ll ask first and keep it off until you agree.

Sample videos hosted on YouTube or Vimeo only load if you press play, using their privacy-enhanced modes.

Security

We use encrypted connections, limit who can access inquiries, and keep secrets out of our code. No method is perfectly secure. If a privacy breach creates a real risk of significant harm, we’ll notify you and the relevant regulator as the law requires, and we keep a record of incidents.

Children

This website is for businesses and isn’t directed at children. We don’t knowingly collect information from anyone under 16.

Changes to this policy

If we change how we handle information (for example, by adding analytics or a booking tool) we’ll update this page and the date above before the change takes effect, and ask for your consent where the law requires it.
